Note: Recare Voice (Desktop) automatically transcribes dictations and patient conversations and, if desired, turns them into a medical note format (e.g. progress, physician or SOAP note). You can copy the text or – with an active interface – transfer it to the HIS (hospital information system).
Signing in
On the desktop, click the Recare Voice icon – the app opens.
Click Anmelden; a browser window opens where you log in with your usual Recare login.
Choose Open Recare Voice App – you're logged in and see the overview.
Settings (first steps)
Click your name at the bottom left – the settings are behind it:
Hotkeys: the key you use to start a dictation. Hold = dictation runs, release = end. Double-tap = hands-free mode (hands free until you press the key again).

Mode 1: Dictation
Select Dictation at the top.
Choose the template at the bottom: General (verbatim transcription) or Medical Notes (summarises what's medically relevant and omits the rest).
Optionally choose the microphone.
Optionally set the speech language.
Start the dictation – either via Start Dictation on screen or via the hotkey. With the hotkey you can dictate into any application (e.g. the HIS) at the desired spot.
Stop (or releasing the hotkey) ends the dictation; it's processed and shown as a transcript.
Tip: The selected speech language determines the transcript's language – regardless of the language spoken. If someone speaks Portuguese and the speech language is German, the transcript appears in German.
Linking a case (with an active interface)
Use Select case at the top, enter the case ID from the HIS and click Find case; check the patient and confirm. The transcript is then linked directly to the case; use the trash icon to remove the link.
Using the transcript
Copy it and transfer it verbatim to the HIS, or
first edit the text and format it (select text, choose a format – e.g. headings or bullet points).
Without an interface, you can give each dictation a title and delete individual dictations.
Mode 2: Consultation (ambient)
The consultation mode records a patient conversation and summarises it.
Select Consultation at the top.
Confirm consent: only once you tick the checkbox (patient/relatives have consented to the recording) can the consultation be started.
Click Start Consultation. You can pause at any time (e.g. for interruptions) or stop.
Important: A consultation is limited to 30 minutes, a dictation to 10 minutes (to keep processing time manageable). The consultation cannot be started via hotkey – only via Start Consultation.
Using the result
View, edit, format or copy the summary.
Full transcript with speaker attribution (who said what) – useful for adding information that wasn't classified as medically relevant.
Turn it into a note format: Progress Note, Physician Note or SOAP Note.
Syncing the mobile (native) app
Recordings from the mobile app (native app, e.g. on the iPad) sync automatically to the desktop app and the platform. If a new recording doesn't appear immediately, click Refresh – then you can process it further on the desktop.
FAQs
How do I start a dictation without clicking the screen?
Via the hotkey chosen in the settings: hold it to start the dictation, release to end it. A double-tap activates hands-free mode until you press the key again. This lets you dictate straight into your HIS.
Why does my transcript appear in a different language?
The system transcribes into the set speech language – regardless of the spoken language. Set the speech language accordingly.
Why can't I start the consultation via hotkey?
The consultation mode can only be started via Start Consultation and only after confirming consent. Only the dictation can be started via hotkey.
How long may a recording be?
Consultation: up to 30 minutes, dictation: up to 10 minutes.
